- Review latest information before installing Fax
This online version of the release notes contains the latest information and has been updated since your CD was created.
- Be sure to install the latest OS/400 cumulative PTF package
- Be sure to install the latest Domino Fax updates
After you install Domino Fax, check the
Domino Fax updates. You should apply the latest fixes. After applying fixes, remember to backup Domino Fax with the Save Licensed Program (SAVLICPGM) command. If you ever need to reinstall Domino Fax, you can reinstall from this backup using the Restore Licensed Program (RSTLICPGM) command and avoid reapplying the fixes.
- Domino server name cannot contain blanks
Domino Fax cannot be installed on a Domino server if the name of the server contains blank characters.
- Location of Fax online help
If the Domino mail server is different from the Domino server where you installed Domino Fax, the Fax online help databases (nfxa400.nsf and nfxuhelp.nsf) must be copied to the mail server.
- Additional considerations for Fax Windows Services system (January, 2006)
- Normally, you should select the Notes release that corresponds to the level of the Domino server running Fax for installation on your Fax Windows Services system. This means you should install Notes 5.05.02 or later. If you are using Notes 6 or 7, you must install the
latest Fax Windows Services update (January, 2006).
- If your users will be faxing .doc attachments, you must install Microsoft Word or a Word viewer on your Fax Windows Services system. If you don’t, the system will attempt to use Notepad or Wordpad to convert the attachments to an image format and unpredictable results may occur on the Fax Windows Services system.
- If you are running Windows XP or Windows 2000 on your Fax Windows Services system, you must perform an additional installation step. After installing the Fax Windows Services software as described in Chapter 3 of the
Domino Fax Installation Guide
(PDF, 160KB), copy the following database from the /notes directory to the /notes/data directory: nfxconv.nsf.
- Recommended Notes mail templates for end users (January, 2006)
Your users can use the Notes 4.6, R5, Notes 6 or Notes 7 mail templates.
Notes 4.6 The Setup database adds $LotusFaxMemoSubform and $LotusFaxOptionsSubform to the mail46.ntf and mailc46.ntf templates on the fax server.
Many Fax notification documents may appear with the text spaced far to the right if they are viewed using a Notes 4.6 client. The same document appears normal when using a Notes R5 client.
Notes R5 The Setup database adds the fax subforms to the mail50.ntf template on the fax server.
For mail users who are using the R5 mail template, it is recommended that you update the design of their mail databases with the template shipped with Domino Release 5.0.4 or later. Earlier versions of the R5 mail template did not include all of the enhancements needed to support the “Fax to” field and the “Fax Options” button.
Domino 6 (March 11, 2003) If you are installing Domino 6 for the first time or upgrading from Domino 6.0 to 6.0.1, you must install the
latest Domino Fax Server update and also complete the
additional instructions for Domino 6 or 7 servers. Even if you have already installed the latest Domino Fax update, you must still complete the additional installation instructions after upgrading your Domino server.
Domino 7 (January, 2006) If you are installing Domino 7 for the first time, you must install the
latest Domino Fax Server update and also complete the
additional instructions for Domino 6 or 7 servers. Even if you have already installed the latest Domino Fax update, you must still complete the additional installation instructions after upgrading your Domino server.
- Minor errors during ADDDOMAPP may cause problems running Setup database
In rare cases, ADDDOMAPP completes successfully even though minor errors occurred which will prevent the Setup database from running correctly. After ADDDOMAPP completes, you can review the detailed messages in the job log to determine if any errors occurred. To review the detailed messages:
- Enter the DSPJOBLOG command
- Press F10 to display detailed messages
- Page Up to display the previous messages
If you do not review the ADDDOMAPP messages and later have problems running the Setup database, consult the Troubleshooting information in the Domino Fax Administrator’s Guide (nfxa400.nsf).
- Duplicate FaxAdmins groups may be created when you have multiple Fax servers
If you are using combined administration and you set up multiple Fax servers, you may have multiple FaxAdmins groups defined after replicating the Name and Address Books between the servers. This occurs because ADDDOMAPP creates the FaxAdmins group in the address book of each server. There are several ways to avoid this. After running ADDDOMAPP, you can replicate the Name and Address Books before running ADDDOMAPP on another server. As an alternative, you can manually update one of the FaxAdmins groups so that it contains the appropriate administrators for each of the servers, delete the extra FaxAdmins groups, and then replicate the Name and Address Book.
- Upgrading your Domino server
If you delete and reinstall Domino on the system where you are running Fax, you must reinstall Domino Fax to restore the Fax message string file to the correct directory. If you have applied any Domino Fax fixes or updates, it is best to reinstall from a product backup created with the Save Licensed Program (SAVLICPGM) command after the fixes were applied. Use the Restore Licensed Program (RSTLICPGM) command to reinstall Domino Fax. You do not need to rerun ADDDOMAPP or the setup database to correct the problem with the message file. If you do not have a recent backup, create one using SAVLICPGM (even though you may have already deleted and reinstalled Domino) and then run RSTLICPGM to reinstall.
Note: If you reinstall from original media, you must also reapply any fixes that you previously installed.
When you upgrade your Domino server, the design changes necessary for the “Fax To” field and “Fax Options” button may be lost from the mail template. If this occurs, open the Domino Fax Setup database (setupfxd.nsf) and click on the "done" button. This will copy the "Fax To" field and "Fax Options" button to the standard mail templates. You can either run DESIGN or manually refresh the design of your mail databases to pick up the changes.

- Configuring Domino Fax for the IBM #2805/#2806 V.92 integrated modem PCI adapter (July 25, 2002)
- Stop Domino Fax.
- Follow the instructions in Chapter 5 of the
Domino Fax Installation Guide
(PDF, 160KB) (“Configuring Domino Fax for IBM Analog or IBM PCI Analog”) to configure one or more ports for fax. Specify
IBM PCI Analog as the fax device type.
Note: This device supports a banner that displays the date, time, sender TSI, receiver TSI and page number. It cannot be customized. To use the banner, select any one of the Fax page headers when configuring the device (it doesn’t matter which one). If you prefer not to use a banner, leave the field blank.
Start Domino Fax so that the line, controller and device are created and then
Stop Domino Fax.
- Run the following command:
CHGLINASC LIND(fax_device_name) CTSTMR(120)
Note: Use the same fax device name that you used when you configured the IBM PCI ANALOG device.
- Start Domino Fax.
- Configuring Domino Fax for the IBM #2793/#2794/#9793/#9794 V.92 integrated modem PCI adapter (July 25, 2002)
- Stop Domino Fax.
- Follow the instructions in Chapter 5 of the
Domino Fax Installation Guide
(PDF, 160KB) (“Configuring Domino Fax for IBM Analog or IBM PCI Analog”) to configure the integrated modem port for fax. Specify
IBM PCI Analog as the fax device type.
- Note: This device supports a banner that displays the date, time, sender TSI, receiver TSI and page number. It cannot be customized. To use the banner, select any one of the Fax page headers when configuring the device (it doesn’t matter which one). If you prefer not to use a banner, leave the field blank.
Start Domino Fax so that the line, controller and device are created and then
Stop Domino Fax.
- From any OS/400 command line, run the following command:
CHGLINASC LIND(fax_device_name) CTSTMR(120)
Note: Use the same fax device name that you used when you configured the IBM PCI ANALOG device.
- Start Domino Fax.
- Configuring Domino Fax for the MT5634ZBA-DID Direct Inward Dial external modem from Multi-Tech Systems (January, 2003)
- Stop Domino Fax.
- Download and install the
latest Domino Fax Server update.
- Create an OS/400 data area containing the parameters for the DID modem.
- If FAXD01 is the name you have chosen for your fax device, type the following command from any OS/400 command line and press F4 (Prompt):
CRTDTAARA QGPL/FAXD01DI TYPE(*CHAR) LEN(5)
- When the prompt is displayed, fill in the Initial Value for the data area (enclosed in single quotes).
Note: If you wish to take the defaults, the data area can be left empty, but it must exist BEFORE configuring the fax device. Consult with your telephone company or telephone system administrator to determine the correct parameters.
- The possible values for each position in the data area and their meanings are described in the following table:

- Follow the instructions in Chapter 5 of the
Domino Fax Installation Guide
(PDF, 160KB) (“Configuring Domino Fax for IBM Analog or IBM PCI Analog”) to configure an
IBM PCI Analog fax device. Use the device name that you specified in step 3, but do not include the DI suffix.
Note: This device supports a banner that displays the date, time, sender TSI, receiver TSI and page number. It cannot be customized. To use the banner, select any one of the Fax page headers when configuring the device (it doesn’t matter which one). If you prefer not to use a banner, leave the field blank.
- Start Domino Fax so that the line, controller and device are created and then
Stop Domino Fax.
- Run the following command:
CHGLINASC LIND(fax_device_name) CTSTMR(120)
Note: Use the same fax device name that you used when you configured the IBM PCI ANALOG device.
- If you are using a 2609 communications card, you must complete these steps so that the modem will vary on. (The 2720, 2721, 2745, 2771, or 2793 communication cards are preferred.)
- Reduce the linespeed in the Line Description from 38400 to 19200. For example:
CHGLINASC LIND(fax_device_name) LINESPEED(19200)
- Create a data area in QGPL with the name of the fax device followed by an A with values indicating the reduced speed for the modem. (That is, if your fax device name is FAXD01, the data area should be called FAXD01A.) For example:

- Edit your fax user profiles and specify DID as the routing method and the appropriate routing code in the DID, DTMF, or CSID number field.
- The
latest Domino Fax Server update (4.4 02 or later) contains a fix to a problem that prevents the DID modem from starting correctly after stopping Domino Fax and starting it again.
After installing update 4.4 02, complete the following steps one time for each of your MT5634ZBA-DID modems:
- Run the following commands to vary off the line, controller, and device:
VRYCFG fax_device_name CFGTYPE(*LIN) STATUS(*OFF)
VRYCFG fax_device_name CFGTYPE(*CTL) STATUS(*OFF)
VRYCFG fax_device_name CFGTYPE(*DEV) STATUS(*OFF)
- Run the following commands to vary them back online:
VRYCFG fax_device_name CFGTYPE(*LIN) STATUS(*ON)
VRYCFG fax_device_name CFGTYPE(*CTL) STATUS(*ON)
VRYCFG fax_device_name CFGTYPE(*DEV) STATUS(*ON)
- At any OS/400 command line, type the following but do not press Enter immediately:
STRITF fax_device_name
- At the same time, power on the modem and press Enter to run the STRITF command.
- At the STRITF screen, enter the following and then press Enter (there are two zeros in the text below):
AT&S1&W0&Y0
- Power off the modem, then vary off the line, controller, and device.
- Power on the modem.
- Start Domino Fax.
Note: If you are using combined administration, you may need to restart the Domino server.
- Configuring Domino Fax for the 2772/2773 or 4772/4773 IO Adapters (April 27, 2001)
- Stop Domino Fax.
- Follow the instructions in Chapter 5 of the
Domino Fax Installation Guide
(PDF, 160KB) (“Configuring Domino Fax for IBM Analog or IBM PCI Analog”) to configure one or both ports for fax. Specify
IBM Analog as the fax device type.
- Start Domino Fax.
- Configuring Domino Fax for the 9771 Adapter Card (Dec 20, 2000)
- Verify that you have installed the necessary PTFs. Consult Domino Fax System Requirements.
- Stop Domino Fax.
- Follow the instructions in Chapter 5 of the
Domino Fax Installation Guide
(PDF, 160KB) (“Configuring Domino Fax for IBM Analog or IBM PCI Analog”) to configure the fax modem. Specify
IBM Analog as the fax device type.
- Start Domino Fax.
- CSID routing does not work with a mixed case CSID number
With separate administration, if the source CSID number is entered in mixed case and the User profile defined for CSID routing is entered in mixed case, CSID routing doesn’t occur. To fix this problem, in the User profile document, enter the CSID number in upper case.
- Setting Notes time and Domino server time to the current time
The fax user’s Notes client and the Fax server systems must be configured so the current time is correct in both Notes and Domino for AS/400. Otherwise, Fax may experience problems with logging, load balancing, and scheduled transmission.
- New notes.ini variables allow greater control over Fax server recovery (Nov 28, 2000)
With FxD for AS/400 Release 4.1, it was necessary to shutdown and restart the Fax server whenever the Fax Windows Services were stopped and restarted (either intentionally or due to an error). With Integrated Domino Fax, this may not be necessary. As long as the Fax Windows Services are restarted within 5 minutes, the Fax server will continue to run. You can adjust the time that a particular Fax server will wait for the Fax Windows Services by modifying the new $FAXNTREBOOTTIME variable in the notes.ini file. Specify the maximum number of minutes that the Fax server should wait. Valid values are 1 through 120.
By default, the Fax server starts 2 threads for handling format conversions. If one thread ends, you may experience slower fax throughput. If both threads end, no faxes can be processed until you have stopped and restarted Fax. Domino Fax allows you to control the number of conversion threads that are started each time the Fax server is started. You can modify the new $FAXCONVERTTHREADS variable in the notes.ini file to specify the number of threads. Valid values are 1 through 10. In practice, the optimum number of threads depends on the power of your Fax Windows Services system. If you increase this value, you should periodically check the Domino Fax Log database (nfxlog.nsf). If you see print timeouts in the log, you should lower the value. Changes to this value take effect the next time you start the Fax server.

- Using a fax modem
Modems are less reliable than fax boards. If error messages appear in the Log, remember that Fax will try to retransmit a fax the number of times specified in the fax server settings. It is recommended that you set the number of retries to a minimum of “3” when using a fax modem.
When sending a fax with a modem, the fax may occasionally be truncated.
- Rendering issues
Notes radio buttons, checkboxes, twisties, combo boxes, and buttons are not rendered. For best results rendering tables, use only black and white and avoid shading.
- User receives misleading non-delivery report when cover page form is invalid
If you receive the error “could not convert cover page to fax format,” make sure the cover page form you configured in the User profile is in the Fax Cover Page database.
- Cannot print DBCS in fax page header
The supported fax devices do not support DBCS in their headers.
- Support for Notes Delivery Options
Fax does not support Notes Delivery Options such as return receipt.
- Using LN:DI for viewing inbound GIF files
If a user is set up to receive inbound faxes as GIF files, the user can’t use LN:DI to view the GIF files. Instead, use the Notes viewer to view GIF files.
- Fonts on the cover page are not the same as those in the message
When you send a fax using the Cover Page with Fax Body cover page form, if the fax message has multiple lines of text formatted with different point sizes and fonts, the various points sizes are correct in the delivered fax but not the fonts. For example, if the message has three lines where the first line is Helv 12 , the second is Script 14, and the third is Rockwell 14, the first line of the delivered fax is Helv 12, as expected, but the next two lines, though the correct point size, are not the correct font style.
To avoid this problem, use the DefaultFaxCoverPage form, where the body of the message appears on a separate page.
- Attachments are not always faxed in the order they appear in memo
Attachments are stored in the document separately from the 'hot spot' images and are held in chronological order, that is, in the order they were added to the memo. Therefore the attachments will appear in the fax in the order they were added, regardless of how they appear to be ordered in the memo.
- Problems when faxing memo with multiple attachments having the same name
Each application attachment in the same memo must have a unique name.
- Phone Number Translations and using the “Fax to” field
Fax now has the ability to use the plus sign (+) for phone number translation. However, if the administrator configures the plus sign to translate to 011 (the US country code) an additional translation may be needed when using the “Fax to” field.
When you enter a fax/phone number in the Personal Address Book or Domino Directory, Notes appends a plus sign (+) to the beginning of the number if the number starts with the number 1. For example, if you enter the phone number as 19785551234, Notes automatically parses it to +1 (978) 555-1234. If the Fax administrator sets up the plus sign to translate to 011, Notes appends 011 to the beginning of the number. A delivery failure report is generated because the intended phone number is a local number, not an international number.
- Drafts of stationery are removed when sent
If you are using Personal or Memo stationery (by choosing Actions – Mail Tools – Create Stationery) to send email, do not use the “Fax to” field to send a fax. Use the “To” field to address your Fax recipients. If you use the “Fax to” field, your stationery will be deleted.
- Fax sends only one worksheet in an Excel file
If you attach an Excel workbook file that contains more than one worksheet to a memo, Fax sends only the worksheet that was active at the time you saved the file (rather than all the worksheets). To choose which worksheet to fax, click the tab in the bottom of the Excel screen to mark the worksheet you want to fax as active before you save and attach the Excel file.
- Fax delivery failures and Error 525
If you change Fax configuration settings and then quit and restart FxD, when a user then sends a fax, occasionally the server reports the errors “Error 525 opening spool database” and “Fax Format Converter could not convert to fax all the contents of job from username” and the user receives a delivery failure. The user should resend the fax.
- Extraneous information on faxed documents
The TIFF file created by Fax Windows Services may contain extraneous information such as the page number or a temporary file name (that is not part of the original document) at the top or bottom of the page. If this is a concern, you should update the application’s page setup to remove the information.
If a document is attached to a Notes memo, Fax Windows Services converts the memo and attachment to TIFF files. In this case, you should update the application’s page setup on the Fax Windows Services system. If you are using the Print-to-Fax driver on a client workstation to format a document and fax it, you should update the application’s page setup on your client workstation.
For example, if you are using Notepad to convert a document or attachment (such as a .txt file), you should change the Notepad Page Setup to eliminate the page number and temporary file name from the header and footer of each page.
To change the Notepad Page Setup, perform the following steps:
- Click
Start-Run and type
notepad
- Click
File-Page Setup
- Remove
Page &p from the footer and remove
&f from the Header
- Click
OK
- Information about server notes.ini file environment variables set by Domino Fax
When the Fax Windows Services system is an Integrated xSeries Server (IXS) located on the same iSeries server as Domino Fax, the notes.ini environment variable
$FAXFMTCVTNWSD is set to the name of the Network Server Description (NWSD) of the INS. When the Fax Windows Services system is any other NT server or workstation (including an IXS located on a different AS/400), the notes.ini environment variable
$FAXFMTCVTHOST is set to the host name. Only one of these variables is set on a particular Fax server.
- Sender’s name overwrites date in some faxes
When faxes are sent from Notes mail using Forward or Reply with history, the sender’s name overwrites the date, rendering that line unreadable. Users should send faxes from Notes mail by using only Reply or Reply to all.
- Intermittent problems when faxing WordPro attachments
We have experienced intermittent errors when faxing WordPro attachments. If more information becomes available, we will post it in these release notes.
- Confirmation messages sent to mailbox of user who sent fax (Nov 28, 2000)
If a user has access to another users mail file and sends a fax from the other person’s mail file, the confirmation message is not returned to the mailbox from which the fax was sent. Instead, the confirmation message is sent to the mailbox associated with the user who sent it.
