Effectively managing your equipment return through lease end

Who has risk of loss during shipping?

You are responsible for the condition of our equipment until it arrives at our warehouse. If you have signed an IBM Customer Agreement, it includes a casualty coverage with a deductible of fair market value or $5,000, which ever is less per incident. This coverage is from lease inception to lease end. Therefore, you are responsible for the deductible until the equipment is received at our warehouse.

Do I have to erase the hard drive? Does IBM erase it?

It is your responsibility to erase the hard drive of any data.

What about the operating system software preloaded on the system?

The operating system can be erased as well. Please remember to return the operating system CD recovery disks, manuals and license certificates.

Do I have to remove all passwords prior to returning equipment?

It is important to note that administrative/supervisor or hardware password protection affects the functionality of the equipment being returned. Therefore, you are required to remove all password protection before returning the item. Failure to do so will result in your liability for any replacement or service cost incurred.

Do the assets have to be returned in the original packing materials?

The equipment must be packed to protect it during shipping. However, you do not have to return the equipment in the original packaging. A good idea may be to use the materials from the replacement equipment if the boxes are the appropriate size.

What if I can’t find my equipment at end of lease?

One of the most important benefits of the IBM Canada lease contract is that each asset is treated individually. That means you can make a different decision for an asset or group of assets (monitors, printers, laptops, servers) and not impact the total cost of your portfolio. You can return, extend or buyout assets based on your then current requirements. If you cannot locate an asset simply buy out that particular asset at fair market value.

My laptop was replaced with a new one as part of a warranty repair. Will this affect my end of lease return?

If your laptop is replaced with a new serial number you should let us know at the time of the repair. This will let us update our records and avoid any confusion at end of lease.

What is the best way to return small quantities of machines?

For machine quantities under 20, it may be more cost effective to use an overnight carrier. Make sure that you still follow the packing instructions to avoid damage. Boxes should be labeled with an identification label on the outside of the box. Please see instructions on the Packing and Labeling section.

How do I protect the equipment being returned with the freight company?

It is your decision to insure or not with the freight company; however, if the equipment being returned is damaged during shipment, you are liable to IBM for these damages.

How do I further reduce the potential for damage billing charges?

For equipment covered by manufacturer’s warranty, complete any required repairs prior to return of equipment.
